TheLittleMJs Vaccine Policy

Effective Date:15 June 2023
Last Reviewed: 10 Nov 2024

1. Purpose

At TheLittleMJs, the health and safety of our team, clients, and community are of utmost importance. This Vaccine Policy has been developed to help protect our community from vaccine-preventable diseases, minimize health risks, and promote a safe environment for all.

2. Scope

This policy applies to all employees, contractors, and volunteers of TheLittleMJs. It also serves as a guideline for any clients or visitors who participate in our in-person events, classes, and workshops.

3. Vaccination Requirement

TheLittleMJs requires all employees working in-person to be vaccinated against certain communicable diseases as recommended by health authorities and relevant government guidelines. Currently, these include vaccines for:

  • COVID-19

  • Influenza (flu)

Employees should stay up-to-date with booster doses, if recommended.

4. Proof of Vaccination

Employees are required to submit proof of vaccination to Human Resources (HR) as a condition for on-site work. Acceptable proof includes a vaccination certificate from a medical provider or an official digital record.

5. Exemptions and Accommodations

We understand that some employees may have medical, religious, or personal reasons for not receiving a vaccine. Employees seeking an exemption must submit a formal request to HR, along with:

  • Medical Exemption: A note from a licensed healthcare provider explaining the medical contraindications.

  • Religious or Personal Belief Exemption: A written statement explaining the exemption request.

TheLittleMJs will evaluate exemption requests on a case-by-case basis and work to accommodate individuals whenever feasible, including options such as remote work, modified job duties, or additional safety protocols.

6. Safety Protocols for Unvaccinated Employees

Unvaccinated employees with approved exemptions may be required to follow enhanced safety protocols, including but not limited to:

  • Weekly COVID-19 testing

  • Wearing face masks at all times in shared spaces

  • Practicing physical distancing

  • Compliance with any additional health and safety measures deemed necessary

7. Privacy and Confidentiality

TheLittleMJs respects the privacy of all employees. Vaccination information will be kept confidential and stored securely, accessible only to authorized HR personnel.

8. Non-Compliance

Employees who fail to comply with this policy without an approved exemption may be subject to disciplinary action, including but not limited to reassignment to remote work or a temporary leave of absence until compliance is met.

9. Policy Updates

This policy may be revised in response to changes in government regulations or public health guidelines. Employees will be notified of any changes and given time to comply with new requirements.
